The Administrative Manager II will be responsible for the planning, coordination, and implementation of key administrative functions in support of faculty and staff in the Clinical Research Division (CRD). The position is responsible for assisting the Associate Vice President (AVP), Division Operations, in operating needs associated with research administration, finance, faculty support, communication, human resources, and supporting division events, projects, activities and recruitment.  In addition, the position supports general administrative needs of the Division and AVP, such as special project support, events and meetings, financial analysis and management, and other tasks as needed.  The position will report to the CRD Associate Vice President (AVP), with indirect reporting to the Associate Operations Director (AOD), any faculty the position provides support to. Once the incumbent has become familiar with the scope of responsibilities, an independent and problem-solving approach to a diverse scope of tasks is expected.

 

This role will have the opportunity to work partially at our campus and remotely.

Responsibilities

The Administrative Manager will work independently under the direction of the CRD AVP and AOD.  This position will be responsible for providing high-level administrative support to the Division.

 

This position exercises sound judgment and discretion in interpreting and implementing department, program, and Fred Hutch policies and procedures within existing frameworks. The incumbent will work closely and collaboratively with the CRD leadership, faculty and staff, on various projects and functions. Responsibilities for this role will include:

  • Serve as project manager for special projects as assigned in the CRD. Monitor project activities, ensure objectives have been met within designated timeframe, and coordinate follow-up actions. Has responsibility for independently managing all aspects of project/program administrative operations. 
  • Support the Associate Operations Director (AOD) with high level program research administration and grant preparation activities of multi-million-dollar budgets.
  • Independently conduct financial analysis and leadership as needed for various projects and programs within the Division.
  • Provide back up staffing support as needed when key positions are out of office or on extended leaves of absence. Be prepared to learn each staff’s responsibilities and cover as needed. 
  • Develop a working knowledge of key faculty and staff within the Program to facilitate effective and independent communication, and administration. This will require attendance of selected faculty and staff meetings within the division, in addition to interviewing all faculty and staff within the division to better understand the programs of the CRD.
  • Assist in recruitment activities, as requested.  This may involve scheduling interviews, coordinating with hiring committees, and preparing documents for approval, in addition to communicating with applicants. 
  • Develop and administer policies and procedures related to program operation and administration.
  • Provide project management related support as needed in support of program needs.
  • Serve as a team player in all activities, which involves a great deal of collaboration, communication and dedication to achieving the division’s collective goals. This also involves coverage for team members while they are out of office or if duties need to shift due to changing workloads. 
  • Perform other duties as required.

Qualifications

MINIMUM QUALIFICATIONS:

  • Requires Bachelor’s Degree and five years of administrative management or relevant experience OR equivalent education/experience.

PREFERRED QUALIFICATIONS:

  • Minimum of 10+ years’ complex administrative experience.
  • Advanced proficiency in Microsoft Office Suite, MS Teams, Office 365, and Adobe Acrobat on various platforms.
  • Experience with financial analysis and simple data management techniques
  • Experience with organizing virtual meeting platforms, such as Zoom and MS Teams.
  • Comfortable with learning new technologies to develop proficiency in desktop systems/internal software necessary to successfully perform assigned tasks.
  • Organization and strong attention to detail and quality of work.
  • Experience in meeting coordination, scheduling, and planning
  • Ability to identify and take advantage of new opportunities, best practices, and build strong partnerships.
  • Ability to work independently, prioritize effectively, proactively plan, problem-solve and meet goals in a deadline-driven environment.

The Fred Hutch Cancer Center Advanced Practice Provider (APP) for the Cancer Genetics and High-Risk Surveillance Clinic (HRSC) works with an interdisciplinary prevention team and provides Screening, Surveillance, and Early Detection Plan (SSEDP) implementation to patients with hereditary cancer syndromes. They will facilitate genetic testing, high-risk screening and surveillance, along with arranging transfer of care to the disease specific oncology team when appropriate. The person in this position interprets significance & implications of SSEDP test results and provide counseling & support. They work collaboratively with the treatment team for care coordination.  All clinical responsibilities are performed within the scope of practice, institutional privileges and under the supervision of an attending physician.

A Fred Hutchinson Cancer Center ARNP/PA-C is a certified physician assistant or advanced registered nurse practitioner who provides evaluation and medical management of Heme/Heme Malignancy patients.  They follow patients during their chemotherapy and provide medical supportive care, as well as surveillance after completion of treatment.  The ARNP/PA-C assesses and manages basic health needs of patients, addresses treatment toxicities, performs procedures, monitors for cancer progression or recurrence, and consults with professional peers as needed.  They work collaboratively with the treatment team to coordinate care of their patients.  All clinical responsibilities are performed within the scope of practice, institutional privileges and under the supervision of an attending physician.

The APP is a nurse practitioner or certified physician assistant who will provide care for patients receiving immunotherapy and cellular therapies as well as standard admissions for chemotherapy or toxicities of treatment/underlying disease.  The APP is responsible for the primary care of the patient as part of a collaborative multidisciplinary team led by an attending physician. Responsibilities include obtain medical history, perform physical examinations, review and order diagnostic studies, radiographs and prescribe treatments. 

Responsibilities

  • Works as part on an interdisciplinary team on the inpatient wards at UWMC working 12 hour rotating shifts to cover 7 days per week.
  • Performs complex and problem-focused H & P’s; rounds daily with team and attending physician.

The Fred Hutch Cancer Center is seeking an advanced registered nurse practitioner (ARNP) or a certified physician assistant (PA-C) to provide an integrative medicine approach to the evaluation and medical management to Oncology and Hematology patients in the Fred Hutch Cancer Center Integrative Medicine (IM) Program. The ARNP/PA-C will provide outpatient supportive care and integrative medicine services to a diverse, oncology and hematology patient population. They will facilitate IM clinical research in this population. Integrative Medicine services may be offered from time of diagnosis to end of life. Integrative medicine therapies offered will focus on evidence-based symptom management, rather than cancer treatment, due to the available level of evidence.


The ARNP/PA-C will, within an integrative medicine framework, assess and manage basic health needs of patients, address treatment toxicities, perform integrative medicine procedures (e.g., acupressure, medical auricular acupuncture), and consult with and refer to professional peers as needed. They will work collaboratively with the oncology treatment team to coordinate care of their patients. All clinical responsibilities are performed within the scope of practice, institutional privileges and under the supervision of an attending physician.

Responsibilities

  • Stays abreast of current integrative medicine concepts and research base and incorporates this into patient care.
  • Performs complex and problem-focused H & Ps and assessments for patients.
  • Evaluates and manages on-treatment and post-treatment side effects, as well as long-term surveillance and survivorship issues. Offers treatment recommendations from an integrative medicine perspective.
  • Assesses patients’ and caregivers’ readiness to learn about cancer diagnoses and treatment issues from an integrative medicine framework. Evaluates the physical and psychological state of the patient.
  • Provides psychological support to patients and their caregivers by participating in patient and/or family teaching, counseling and rehabilitation.
  • Refers patients to community resources and providers as appropriate, in coordination with other Fred Hutch supportive care services.
  • Collaborates and consults with other disciplines and services to ensure safe, effective, and timely treatment as well as continuity of patient care. Care will be coordinated in a multidisciplinary fashion with collaborating services which may include surgery, radiation oncology, medical oncology, medical nutrition, social work, psychology/psychiatry, physical therapy, rehab medicine, spiritual health, pain management, and palliative care.
  • Works with medical and operations leadership to continue to build and enhance the Integrative Medicine service.
  • Participates in the conduct of cancer clinical research.
  • Participates in patient, caregiver, and peer education.
  • Communicates changes in patient’s health status or urgent patient issues to the patient’s primary oncologist in a timely manner.
  • Participates in patient rounds, conferences, and committees.
  • Actively participates in the development and maintenance of Integrative Medicine-related EHR functionality.
  • Performs procedures according to licensure, credentialing, and scope of practice.
  • Documents patient care data in accordance with Fred Hutch and UWP policies
  • Maintains ACLS certification per institutional policy.

Qualifications

The ARNP/PA-C at Fred Hutch functions within their scope of practice and collaborates effectively with other disciplines to provide state-of-the-art patient and family-centered integrative oncology care. Required qualifications/experience:

  • Training in a formal integrative medicine program and at least one year of experience in the use of integrative medicine therapies in the oncology setting is preferred.
  • Training and experience in selfcare in the oncology setting, including use of dietary supplements, mind-body medicine therapies, acupuncture, acupressure, and other evidence-based IM therapies as well as lifestyle practices is preferred
  • A working knowledge of basic oncology principles and practice.
  • Excellent communication skills to ensure optimum patient care outcomes in a complex care environment.
  • Respectful and ethical interactions with staff, patients, and their family/caregivers.
  • Skilled in evidence-based diagnosis and management of integrative medicine therapies related to cancer symptoms and side effects of treatment, and advanced disease issues.
  • Effectively be able to provide education to patients, family and caregivers about disease processes, treatments, and management of treatment toxicities from an integrative medicine perspective.
  • Effectively be able to provide education to MDs, APPs, RNs, MAs, and other supportive care professionals at Fred Hutch in the basic principles and practice of integrative medicine therapies and how they can add value to patients’ plan of care.

 

Completion of a formal integrative medicine program such as:

  • Andrew Weil Center for Integrative Medicine-Integrative Medicine Fellowship
  • Integrative Oncology Scholars Program

 

Licensure and credentialing:

  • Washington State Licensure as an ARNP or PA-C
  • Minimum of 2 years of experience as an ARNP or PA-C

 

Preferred Qualifications:

  • Training in mind-body medicine therapies
  • Training in medical acupuncture and/or auricular acupuncture
  • Training in acupressure
  • Experience in program development

The Clinical Research Dvision at Fred Hutch is seeking a Clinical Research Coordinator to join their dynamic team of dedicated and skilled research staff working on clinical trials in the field of hematologic malignancies. The Clinical Research Coordinator will participate in the planning, coordination, and implementation of multiple industry- sponsored and investigator-initiated oncology clinical trials involving human subjects. In addition, this position will provide data coordination for one or more clinical trials supported by the team.

 

This role will have the opportunity to work partially at our campus and remotely.

Responsibilities

This individual will work under the supervision of the Clinical Program Operations Manager and will be required to perform his/her responsibilities with a high level of independence within the scope of study protocol(s) and institutional guidelines.

  • Protocol Coordination - 70%
    • Serve as designee of the Principal Investigator (PI) to manage the daily clinical operations of assigned research studies in accordance with regulatory, GCP guidelines and institutional policy.
    • Review study candidates’ medical records in detail for study eligibility.
    • Ensure informed consent, initiate patient enrollment, and ensure accurate enrollment records are maintained.
    • Educate clinical teams, ancillary departments, and patients to ensure safe and accurate protocol implementation.
    • Develop and maintain tools for study implementation, which may include data collection tools, study reference materials, and study specific orders. Revise and utilize tools as necessary to fulfill the aims of the clinical trial.
    • Monitor and track upcoming patient visits. Initiate scheduling of patient clinic visits, and on-going study visits. Attend patient visits and ensure clinical procedures, lab tests, and other protocol specific activities are completed as outlined in the protocols.
    • Collaborate with Investigational Drug Services (IDS) and/or Nuclear Medicine on drug assignment, dispensation information, and maintain regular communication regarding status of study subjects.
    • Ensure study drug self-administration and accountability with patients, perform non-clinical ECGs, administer study questionnaires and other protocol-driven non-clinical assessments.
    • Function as a protocol liaison with clinical teams, patients, consortium partners, other institutions, and sponsors when necessary.
    • Coordinate monitoring visits and respond to queries and other requests from study monitors.
  • Data Coordination and Abstraction - 15%
    • Work independently to obtain, abstract, code and enter complex clinical information from multiple sources (medical records, research records, etc.) for research subjects into various study-specific electronic data-capture systems in according to contractual timelines.
    • Resolve and answer data queries with minimal errors.
    • Understand research study flow and work with other team members to perform the required research support tasks at appropriate study appointments.
    • For some research studies, independently request copies of radiology images, complete requisition forms and submit to pharmaceutical companies.
    • Develop study-specific data acquisition forms.
    • Work professionally with sponsor representatives to review and correct data recorded in the case report forms.  Exercise independent judgment on query resolutions.   
  • Administrative - 15%
    • Collate and establish study-specific research and reference binders.
    • File requisitions and other research documentation in each patients' research chart.
    • Independently screen third party safety reports and submit to PI for review.
    • Complete and collect required regulatory documents for submission to pharmaceutical sponsors, internal review committees, and other regulatory authorities.
    • Assist with maintaining regulator folders in the electronic Binder system.
  • Perform other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent. 

  • Minimum one year experience in a clinical research or cancer registry environment with regulatory or human research protections. 

  • Demonstrated knowledge of how to synthesis study conduct. 

  • Ability to apply judgement in interpreting regulations, determining impacts, and knowing when to escalate questions and concerns when appropriate.

  • Excellent organizational skills, attention to detail, ability to problem solve and to prioritize multiple competing tasks in a dynamic environment. 

  • Collaborative focus is essential, as well as strong written and verbal communication skills, including computer skills.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree or equivalent experience.
  • 2+ years of oncology clinical research or relevant/related experience
  • CCRP or CCRC accreditation
  • Previous experience in oncology research
  • Prior exposure to CTMS, Florence, and/or EDC platforms
  • A self-starter with the ability to locate resources and operate productively in an environment where standard operating procedures, guidelines and policies are not always available.

Responsibilities

This paid internship provides experience and mentorship for biostatistics graduate students who are interested in biomarker analysis. The Intern, Research will work with a biostatistics faculty mentor in Fred Hutch’s Clinical Research Division to conduct a statistical analysis using machine learning algorithms for biomarker analysis.  The job includes validation on source code, result comparison between different methods via simulation, data analysis for a clinical trial, add/update features on R Shiny website, and manuscript preparation for publication.

We seek a visionary leader to head our Phase I Developmental Therapeutics Program, focusing on innovative therapies to provide hope and healing to cancer patients. This Program Head will lead and oversee the development and execution of early-phase clinical trials for novel cancer therapies. This role is crucial in translating groundbreaking research into clinical practice, ensuring the safe and efficient evaluation of new treatments. The successful candidate will partner with leaders of the Fred Hutch immunotherapy integrated research center and cell-based therapy team to develop and execute an institutional early phase trial strategy. The Program Head will foster strong collaborations with translational researchers and clinical investigators at UW and Fred Hutch and will forge partnerships with biotech and pharmaceutical industry partners to grow the phase I program assets and advance our mission of delivering transformative cancer therapies to our patients.

Sarcoma Program Head, Associate or Full Professor

The position will be dual appointed with a primary faculty appointment in the Clinical Research Division at Fred Hutch and a secondary appointment in the UW Department of Medicine, Division of Hematology and Oncology. The position will report to the Senior Vice President (SVP) of the Clinical Research Division at Fred Hutch and the Division Head of Hematology and Oncology.

The incumbent will provide strategic leadership with a strong vision to grow the Fred Hutch Sarcoma Program. The Program Head will contribute to our mission of delivering outstanding clinical care and developing excellence in research in the area of Sarcoma. The successful candidate would be expected to: i) lead Fred Hutch’s Sarcoma Research and Clinical Program and ii) galvanize multi-disciplinary translational sarcoma research within Fred Hutch. The successful candidate will enter a vibrant and dynamic research environment with an opportunity to lead basic, translational, clinical, and public health sarcoma researchers across diverse disciplines. The incumbent will serve as an academic, clinical and educational leader charged with organizing, directing and expanding the clinical and research efforts for an established team of sarcoma clinicians and researchers. Responsibilities include faculty recruitment, oversight and mentorship of faculty and trainees on the sarcoma oncology team, and oversight of clinical care delivery on the sarcoma oncology service.

Appointment at Fred Hutch would be at the rank of associate or full professor in the Clinical Research Division of the Fred Hutch.

Appointment to the full-time faculty at the UW would be at the rank of associate or full professor. Academic appointments at the University of Washington will be commensurate with experience, qualifications, and academic rank. Associate and full professors hold indefinite appointments that both align with a 12-month service period (July 1-June 30). Faculty with 12-month service periods are paid for 11 months of service over a 12-month period (July-June), meaning the equivalent of one month is available for paid time off.

The Research Administrator I/II (RA) will support the faculty and personnel in the Clinical Research Division by providing support in grants and contract management (Pre- and Post- Award), budget monitoring, regulatory administration, and general day-to-day operations of the program faculty. The financial portfolio is comprised of various sources of NIH, foundation, industry, professional society, internal pilot, subawards, and institutional support and includes regulated activities.

 

This new role is part of a team of Research Administrators and Administrative Coordinators which provides a network of peer resources and team environment supporting the program faculty. The position will work under the direction of the Program Operations Director and will act independently in performing daily responsibilities, partnering with program faculty and interfacing with other departments as needed to provide research administration.

Responsibilities

Funding Source Administration

  • Work closely with assigned faculty to provide overall Research Administration support, based upon the faculty’s area of research interest and goals.
  • Assist with submitting grants, to include writing and completion of non-technical portions of submission, oversight of institutional signoff, and preparation of just in time (JIT) materials.
  • Assist with fiscal management aspects of industry-sponsored clinical trials.
  • Develop, monitor and track simple or basic budgets.
  • Run standard reports to support budget management.
  • Perform post-award activities, including annual progress report submission and sub-award activation and management.
  • Monitor project budgets, ensuring that all financial allocations and expenditures are in accordance with grant/contract guidelines & regulations as well as institutional policies.

  • Prepare monthly budget summaries and reports for PIs.

Fiscal Support

  • Serve as purchasing liaison, placing and approving orders for supplies and equipment. Create and maintain standing orders for a variety of vendors.

Administrative Support

  • Maintain faculty documents such as CV, NIH Biosketch, Other Support, and Academic Review & Promotion portfolio materials.

Qualifications

MINIMUM QUALIFICATIONS:
